Entry first

Business and Conference Trip Playbook

Business travel needs activity classification before hotels, badges, and payments.

Best for

  • - Trip includes meetings, conference attendance, exhibitions, buyers, or institutional delegation.
  • - Traveler needs company email, VPN, MFA, cloud files, or messaging immediately after arrival.
  • - Several travelers need one repeatable arrival pack.

Timed setup sequence

30 days out

Classify the business activity.

Meetings, conferences, work assignments, study, journalism, and urgent-entry scenarios are different compliance problems.

  • - Ask the host to confirm the intended visa or visa-free path.
  • - Save invitation, host contact, event registration, venue, hotel, and onward travel offline.
  • - Escalate to official or qualified professional verification for paid work, media, study, or ambiguous activity.

Evidence

  • Business visitors should separate meetings from work-permit or special-approval activity.
  • Match the entry path to passport, purpose, stay length, and route.

7 days out

Test work access from the planned network path.

A trip can pass immigration and still fail if email, MFA, VPN, files, calendar, or messaging does not work.

  • - Test MFA, email, VPN, calendar, and document access from the intended roaming/eSIM/VPN setup.
  • - Keep a backup host contact path outside one app.
  • - Save meeting location and hotel cards in Chinese.

Evidence

  • Choose your network path before choosing apps.
  • Save Chinese-language cards before you need help.

48 hours out

Create the team arrival pack.

Delegations need one shared source of truth for hotel, host, venue, payment fallback, and emergency contacts.

  • - Create a shared host, hotel, venue, emergency, and first-ride contact sheet.
  • - Assign who handles payment fallback and late-arrival support.
  • - Print or screenshot cards for every traveler.

Evidence

  • Prepare the first ride around airport, luggage, hour, and Chinese address.
  • Emergency cards should include China numbers, hotel details, and a home contact.

Landing day

Protect the first business commitment.

Do not let first ride, payment, hotel registration, or data login sit between arrival and the first meeting.

  • - Use a low-friction door-to-door first ride when schedule matters.
  • - Check wallet and data while hotel or airport support is nearby.
  • - Confirm next-day meeting address in Chinese before sleeping.

Evidence

  • Prepare the first ride around airport, luggage, hour, and Chinese address.
  • Use two wallet/card paths plus a small cash fallback.

Failure plans

Trip purpose does not match the entry path

The traveler treats work-like activity as ordinary business or tourism.

Ask host/employer to confirm category and documents; use official/provider verification before ticketing.

Company MFA fails after landing

Work access depends on SMS, VPN, app store, device policy, or a blocked service.

Use an employer-approved backup path and offline host contact sheet.

When a official verification is worth it

  • - Activity could be work, study, media, technical service, or urgent entry.
  • - Several travelers have different passports, routes, or first arrival times.
  • - Meeting depends on MFA, VPN, or a host contact path working immediately.
